Sales-rep and dealer ordering apps for manufacturers in Gujarat: what to build first
How a sales-rep order app and a dealer portal app work for chemical, pharma, FMCG and engineering manufacturers in Surat, Ankleshwar, Bharuch and Vadodara: the screens that matter, offline sync, ERP and Tally integration, cost drivers and a rollout plan.

Key takeaways
- A sales-rep app lets your reps take orders at the party's shop with the right price, scheme and outstanding; a dealer app lets the party order without calling your office. Both write to the same ERP records.
- Build the order flow, party-wise pricing, outstanding and offline sync first. Catalogues, schemes, visit tracking and collections come in phase two.
- One React Native or Flutter codebase covers Android and iOS. Connect it to your ERP, Tally or Busy through APIs rather than exporting Excel.
Most manufacturers in Gujarat's GIDC belts still take orders the same way: a rep visits, writes in a diary or sends a WhatsApp photo, and someone in the office types it into Tally or the ERP the next morning. Prices are from memory, schemes are argued over on the phone, and the party's outstanding is checked after the goods have left. A sales-rep order app and a dealer ordering app fix that by putting the office's records in the hands of the people placing the order.
This guide is for owners and sales heads of chemical, pharma, FMCG, building-material and engineering companies in Surat, Ankleshwar, Bharuch, Vapi, Vadodara and Ahmedabad who are deciding what an app should do, in what order, and what drives the cost.
Sales-rep app vs dealer app: which one do you need?
| Sales-rep order app | Dealer / distributor portal app | |
|---|---|---|
| Who uses it | Your own field reps and area managers | Your dealers, distributors and retailers |
| Where | At the party's shop or plant, often with weak network | Anywhere, on the party's own phone |
| Core job | Take the order correctly in two minutes, log the visit | Let the party order, see stock, invoices and ledger without calling |
| Must have | Party-wise prices and schemes, outstanding, offline sync, beat plan | Login per party, price list, order tracking, invoice and ledger download, payment reminders |
| Typical first phase | 4 to 6 weeks | 4 to 8 weeks |
What to build first
Apps fail when phase one tries to do everything. The order flow has to be faster than the diary, or reps go back to the diary. Build the thinnest version that is faster, then add.
Phase one: the order has to be right
- Party list with search, credit limit and current outstanding from the ERP
- Product list with the party's price tier, pack sizes and live or last-known stock
- Order entry in three taps per line, schemes applied automatically
- Offline storage with sync when the network returns, and a clear 'sent' status
- Order confirmation to the party on WhatsApp, and the order in the ERP without re-typing
- Visit log with GPS and time for reps (not for policing, for planning beats)
Phase two: once reps and dealers trust it
- Collections: record payments and send a receipt from the app
- Catalogue with images, specs, MSDS or technical data sheets for chemical and pharma lines
- Scheme and target dashboards per rep and per party
- Dealer self-service: invoices, ledger, pending dispatches, complaint tickets
- Push notifications for dispatch, due payments and new schemes
- Gujarati and Hindi labels where your team needs them
The flow, end to end
Order taken in Ankleshwar, invoiced in Surat
- 01
Rep or dealer opens the app
Party, prices, outstanding already loaded
- 02
Order placed
Schemes applied, stock checked, saved offline if needed
- 03
Synced to ERP
Order appears in the office with no typing
- 04
Credit check and dispatch
Blocked if over limit, else picked, invoiced, e-way bill
- 05
WhatsApp updates
Confirmation, dispatch, tracking and payment reminder
Connecting the app to Tally, Busy or your ERP
The app is only a screen. The parties, prices, schemes, stock and outstanding have to come from one place, and the orders have to go back there. Three set-ups work:
- You already run an ERP with an API: the app reads and writes through it. Fastest and cleanest.
- You run Tally or Busy: the app gets a small backend that holds parties, prices and orders, and syncs vouchers and outstanding with Tally through its integration layer. Accounts stay in Tally.
- You run Excel and WhatsApp: build the backend and the app together, then add production, stock and GST later. This is where a custom ERP usually starts.
What drives the cost
We do not publish a price list because a six-screen rep app and a dealer portal with collections and a catalogue are different projects. The quote moves on these:
- Number of screens and roles (rep, area manager, dealer, owner)
- Offline requirements and conflict handling
- Integration: ERP API, Tally or Busy sync, or a new backend
- Catalogue complexity: images, technical sheets, variants, pack sizes
- Notifications, WhatsApp confirmations and payment reminders
- Play Store and App Store publishing under your accounts, and support after launch
After a discovery call at your plant or on video, you get a written scope and a fixed quote, usually within 2 to 3 days. There are no per-user charges on apps we build, so adding reps and dealers costs nothing. Read what drives custom software cost for the same logic applied to ERP.
Rolling it out without a revolt
What goes wrong
- Launched to every rep on day one
- Prices in the app differ from the office
- No offline mode, reps blame the network
- Dealers asked to use the app with no benefit to them
What works
- Two reps and five friendly dealers for two weeks, then everyone
- One price master, read-only in the app
- Offline first, sync status visible
- Dealers get instant order confirmation, invoices and ledger: a reason to open the app
We build these apps in React Native and Flutter from Surat and connect them to the ERP and dealer portals we already run for distributors and manufacturers. See mobile app development in Gujarat and the distribution and wholesale ERP the apps plug into.
Frequently asked questions
Can a sales-rep app work offline?
Yes. Orders and visit entries are stored on the phone and sync when the network returns, with a clear sent or pending status per order.
Can the app connect to Tally?
Yes. A small backend holds parties, prices and orders and syncs vouchers and outstanding with Tally, so accounts stay where your accountant works.
Android or iOS?
Both from one React Native or Flutter codebase. Reps and dealers are usually on Android; owners often want iOS. One build covers both.
How long does a sales-rep app take?
A focused phase one typically goes live in 4 to 6 weeks, a dealer portal app in 4 to 8 weeks, including store publishing.
Do you build apps for companies in Ankleshwar, Bharuch or Vapi?
Yes. We are based in Surat and work across Gujarat's GIDC belts with on-site discovery where it helps, and the rest of India over video call and WhatsApp.
